Hey, this is Michelle Spalding.  Today I’m going to talk to you a little bit about template, both email templates as well as templates for letter writing.  I’m not talking about canned generic conversation.  I’m not talking about drips campaign or anything along those lines.

What I’m talking about is saving yourself some time once you get into a conversation with somebody.  Here’s a case in point, each and every transaction that you work on has very similar conversations that you have to have, conversation with the lender finding out if the property appraised.  You’ve to have a conversation with the Title Company to see if how they are doing in getting the title commitment.  You have to have conversation with your client with the cooperating agent.  There’re a lot of conversations that you have to have that are all similar.

Here’s what I like you to do, take a few minutes and learn your email system that you are using and look for ways to create templated emails.  In Google or Gmail they are called canned emails.

Here’s what I would like you to do, is start thinking about the conversations that you have to have and every time you have a conversation that you know that you have to have more than once with more than one person or that you’ve had in the past, start saving in those canned emails.

Create a canned email and this will do two things for you:  Number one it will save you a lot of time.  Make it so that you will quickly and efficiently create an email that will go out to the person that you want.  Now, of course you can add personality to it.  Hi Joe!  This is Michelle, just checking in on the appraisal and the rest of the email can be your canned email.

The other thing that it will help you do is not overlook something.  If you routinely ask for the same four things that you’re using your memory rather than a tool or a system that you have to send email to ask for that, one day you might get destructed and only ask for three of those things then you have to send another email and remember to do that.  So having a system and using a system makes sure that you don’t miss anything, can also save you a lot of time and giving you more opportunities for putting more deals to close together.
